Premium Booking System:
In addition to the features of the basic availability system , our premium booking system allows your clients to book on-line and make secure card payments. Visitors to your web site will be able to book by selecting the dates on an interactive calendar:

 After choosing their dates, the client completes a simple booking form and proceeds to a secure card payment page. For client security reasons, we cannot show you a live secure payment page but here is an example. In this particular example the payment page has been customised so that it has the same look and feel as the rest of the web site.

 

Once payment has been authorised, the client receives an on-screen and email booking acknowledgement. A copy of the booking acknowledgement is emailed to you.

 

Approved Card Payment Service Providers
There are a variety of approved card payment service providers, although we recommend ProTx who provide low cost secure on-line card payment solutions for thousands of on-line micro businesses across the UK. You will require a merchant account, although your bank or ProTx will be able to help you with this.

 

Simple to Use, but Powerful and Versatile
The dates displayed on the calendar can be colour coded to display low, mid and high season rates. The system has a number of options including discounts for full early payment, an under occupancy discount and late availability short breaks.

 

The booking system includes a private, password protected administration area, which allows you to set or change low, mid or high season dates, tariffs, discount rates, deposit rates, cut-off periods; for short breaks, under-occupancy discounts and deposits. For example, you may wish to restrict the availability of short breaks to your low season and at the 'last minute' during your mid and high seasons.

 

Administration Area
You use the admin area to manage your bookings. A typical menu is:

   Send html formatted mail to your clients. See Webmail for details

Sales Log
   Shows invoiced sales for the last three months. Includes totals for current period, previous period and a predicted annualised sales figure.

Credit Log
   As above, but shows any credits you have made

Mailing List
   A log of guests who have checked a 'let me know about promotions' checkbox when they completed the booking form. Records are linked to the webmail system to make it easy to contact a guest. Can also be used for mass mailing.

Owner Reservation
Used for you own guests, or for maintenance work without invoicing.

Phone Reservation
Used for guest who make a reservation by phone

Booking Log
This is the heart of the booking system and is used to manage most of the day to day transactions. The options available depend upon the type of reservation and it's status but include:
   Invoice: Full... When paid in full, option to email invoice, maps etc
   Invoice: Deposit... When deposit paid
   Invoice: Balance... When balance paid
   Cancel Owner Reservation
   Cancel Pencilled-in Reservation
   Update Pencilled-in Reservation
   Email Balance Reminder... Deposit Paid, but balance due shortly
   Email Further Reminder... Deposit Paid, but balance overdue
   Cancel Reservation... If deposit Paid, but balance long overdue
   Balance Received... For cheque or cash balance payments
   Pay Balance On-line... Via web-site given client card info
   Full Refund... If you cannot fulfil a booking
   Partial Refund... If you want to credit a client for poor service

Unlike many PC based, or agency booking systems, our web-based on-line booking system offers the speed and convenience of a one-stop availability check, instant booking and confirmation. Guests can book immediately, without having to bother with time-consuming emails and telephone calls.

 

The system is linked to an approved card payment service provider so guests can be confident that their card details are being managed safey and securely. Guest payments are fully integrated into the booking system, so there is no need to manually enter the booking details into your PC and no need to wait for proof of payment.

 

All of the emails concerning the reservation and the card payment page can be customised so that they have the same look and feel as the rest of the site.

 

The booking system is easy to use, but versatile and powerful. It can handle a variety of rates and discounts, You can alter these yourself without relying on your web designer. If you wish, guests can make payment in full, or choose to pay a deposit followed by a balance payments. Email payment reminders, invoices and refunds etc are all easily made. Keeping track of bookings is simple and there is no need to use a separate off-line/pc based scheduling system, diary or wallplanner.

 

Because the system is web-based there is no need to install platform specific software. The system will run on a PC, Mac or Unix machine using almost any browser including Internet Explorer, Netscape Navigator, Firefox, Opera etc.

 

The cost is £600.00 plus VAT for establishments with a single property. Plus £250 per per property for multiple properties.
